Project Overview

What You’re Building

🚀
You’ve learned 10 categories of AI tools. Now you’ll design a personalized system that fits YOUR work and life. Complete each deliverable in order — they build on each other. By the end you’ll have a real AI stack you can start using immediately.

The five deliverables are: Workflow AuditAI Tool MappingBuild One AutomationBefore/After ComparisonAI Stack Presentation. Let’s get started.

Deliverable 1 of 5

Current Workflow Audit

01
Document your current week
Before you can improve your workflow, you need to see it clearly. Spend 20 minutes mapping out your typical work week. Your goal: identify the 5 most time-consuming repetitive tasks that you do regularly and would love to speed up.
TaskTime / WeekRepetitive?Current Tool
Email writing 3 hours Yes Gmail
Research 4 hours Yes Google
Report writing 2 hours Yes Word

Once you have your list, paste it into this prompt template to get instant AI recommendations:

I'm a [role] at a [type of company]. Here are my top 5 time-consuming tasks: [list]. For each task, identify: 1) What AI tools could help 2) Estimated time savings per week 3) Which specific tool to try first and why
Deliverable 2 of 5

AI Tool Mapping

02
Map each task to 2–3 AI tools
Take each bottleneck from your audit and find the best AI solutions using the tool categories from this course. Aim for 2–3 options per task so you can compare and pick what fits your budget and workflow.
TaskPrimary AI ToolSecondary ToolExpected Outcome
Email writing ChatGPT / Claude Superhuman AI Draft in 2 min vs 20 min
Research Perplexity AI ChatGPT Browse Answers in 5 min vs 40 min
Report writing Claude + Notion AI Gamma.app First draft in 15 min vs 2 hrs
Your task...
💡
Start with ONE tool per task. Don’t try to implement everything at once — pick your single highest-impact task and nail that first before moving to the next.
Deliverable 3 of 5

Build One Automation

03
Choose your highest-impact task and automate it
Pick the single task from your audit with the biggest potential time savings. Build a Zapier, Make, or n8n automation that uses AI to handle it automatically. Here are three proven starter projects:

Option A: Email → Notion — Auto-save important emails as Notion notes with an AI-generated summary (Zapier + Notion AI). No more losing track of important conversations.

Option B: Calendar → Brief — Auto-generate meeting briefs from calendar events the night before (Make + ChatGPT). Walk into every meeting prepared.

Option C: Content Pipeline — New blog idea added to Notion → AI draft generated → Saved as Notion draft ready for editing (n8n). Cuts content creation time in half.

Here’s what a working automation flow looks like:

Trigger
New email / calendar event / Notion entry
AI Step
ChatGPT summarizes or drafts
Action
Save to Notion / Send to inbox

⚠️
Start simple. A working 3-step automation beats a broken 10-step one every time. Get one flow working end-to-end before you add complexity.
Deliverable 4 of 5

Before / After Comparison

04
Measure your actual time savings after 1 week
After running your AI stack for a full week, fill in the before/after table. Real data beats estimates — track your actual time, not what you expected to save. This data becomes your proof of ROI.
TaskBeforeAfterTool UsedNotes
Email writing 3 hrs/wk 45 min/wk Claude Drafts need light editing
Research 4 hrs/wk 1 hr/wk Perplexity Still verify sources
Your task...

Use this formula to calculate your productivity score for each task:

% Time Saved = ((Time Before - Time After) / Time Before) × 100 Example: ((3 hrs - 0.75 hrs) / 3 hrs) × 100 = 75% time saved on email
Deliverable 5 of 5

AI Stack Presentation

05
Create your 1-page visual AI stack summary
The final deliverable is a clean, visual 1-pager that summarizes YOUR AI stack. Use Gamma.app or Beautiful.ai to create it — both have AI that will generate a beautiful layout from a bullet list in 30 seconds.

Your 1-pager should include:

▪ Your role / context
▪ Your top 5 AI tools (with what each does for you)
▪ Your #1 automation (the Zapier/Make flow you built)
▪ Your total time savings per week
▪ Your top tip for someone just starting with AI
